Property Management Software for Airbnb Co-Hosts: 7 Features That Actually Matter
By Hostfinn team 5 min read
A co-host is paid to run someone else's property, so the software has two jobs: keep the calendars straight and show the owner, in plain numbers, what their property earned and what was deducted. Most tools are good at the first job and treat the second as an afterthought.
Below are the seven features worth checking before you choose property management software as an Airbnb co-host, whether you look after two apartments or two hundred.
Why do co-hosts need different software from owner-hosts?
An owner who hosts their own apartment keeps every euro that comes in. A co-host does not: the guest money belongs to the owner, and the co-host's income is a management fee. That changes what "profit" means on the screen.
Software built for owner-hosts adds up bookings and subtracts expenses. Software for co-hosts also has to know which properties you only manage, what fee you charge on each, and who paid each bill — you or the owner. Without that, you end up copying numbers into a spreadsheet at the end of every month anyway.
The 7 features to check
1. One calendar for Airbnb, Booking.com and Vrbo
Your reservations from every channel should appear in one calendar, per property. Most smaller tools do this by importing each channel's iCal link; larger channel managers use direct API connections. Ask how often the calendars refresh: iCal-based tools usually refresh on a schedule (Hostfinn checks every hour), not instantly.
2. Automatic warnings for overlapping bookings
If two reservations land on the same nights, you want to know before the second guest arrives. Check whether the tool flags overlaps on its own, and whether it treats a same-day checkout and check-in as a normal changeover rather than a false alarm.
3. Expenses recorded per property, with who paid
Cleaning, laundry, repairs, utilities: each expense should belong to one property and say whether you paid it or the owner did. The difference matters when you settle up — you get reimbursed for what you paid, while what the owner paid directly is only shown for transparency.
4. Your management fee, per property
Co-host agreements vary. One owner pays you 20% of booking income, another a fixed monthly amount. The software should let you set the fee type and value for each property, so your income and the owner's payout are calculated the same way every month.
5. An owner statement you can actually send
At the end of the month the owner wants one document: income, your fee, expenses, and the amount they will receive. Look for a statement generated from the data you already entered, not a template you fill in by hand. For a worked example of the calculation, see our guide on how to calculate co-host commission and owner payouts.
6. Cleaning schedules your team can follow
Changeovers are where co-hosting goes wrong in practice. A tool that lets you assign cleanings to a team and notify them by email saves a lot of messages on the day.
7. Pricing that grows with you, without setup fees
Watch for setup fees, per-booking fees and annual lock-ins. You should be able to start small, see whether the tool fits, and move to a bigger plan when your portfolio grows — without migrating to another system.
How Hostfinn covers these seven points
Hostfinn was built by a working co-host on the Costa Blanca, around exactly this list:
- Calendar: Airbnb, Booking.com and Vrbo reservations are imported through iCal into one calendar, refreshed every hour, and overlapping bookings are flagged automatically (Professional and Corporate plans).
- Expenses: each expense belongs to a property and records whether you or the owner paid it.
- Fees: for every managed property you set a percentage or a fixed monthly fee.
- Owner statements: Hostfinn calculates the monthly settlement as income − your fee − expenses you paid and exports a PIN-protected report the owner opens in a browser and can print or save as PDF.
- Cleaning: cleaning schedules with email notifications to your team.
- Long-term rentals: tenants, contracts, rents and deposits sit next to your holiday lets (Professional and Corporate).
Plans start at €9.90/month (Basic, up to 3 properties). Professional is €49.90/month for up to 15 properties and adds channel sync and long-term rentals. Larger portfolios move to Corporate, with terms agreed individually. Every account starts with a 14-day free trial and there are no setup fees. See plans and pricing.
Frequently asked questions
Can a co-host use the same software as the property owner?
Yes, as long as the software separates properties you own from properties you manage. Otherwise your dashboard will show the owner's booking income as yours.
Does iCal sync prevent double bookings?
iCal sync shows all reservations in one place and lets software flag overlaps, but it refreshes periodically, not instantly. To reduce risk further, also connect each channel's calendar to the others and keep minimum gaps between stays where possible.
Is there a limit on how many properties I can manage?
Not with Hostfinn: Basic covers up to 3 properties, Professional up to 15, and Corporate is set up for larger portfolios.
Do property owners need an account to see their statement?
No. In Hostfinn the owner receives a PIN-protected file that opens in any browser.
